Cloud ERP or custom software: which should you buy?

Buy ready-made cloud software when your process is normal and you want to be live this week. Build custom when the process itself is your advantage. The expensive mistake is buying a package and then customising it until it costs more than a build.

What ready-made cloud software gives you

A cloud ERP, WMS, POS, CRM, DMS, ORM or HRM system that already exists can be live and usable within 24 hours. It has been tested by other businesses, it gets patched regularly, and the cost is predictable. For finance, stock control, retail checkout, customer records, documents, risk and HR, the process is broadly the same across companies, which is exactly why a package fits.

When custom is the right call

Build custom when the workflow is genuinely yours: a pricing model nobody else uses, a compliance requirement specific to your sector, or an operational method that is the reason customers choose you. Encoding that into a package you do not control is how businesses end up paying twice.

A custom build can take up to three months depending on scope. The sequence is requirements analysis, sketch and approval, UI design, backend and API, database, then beta, publish and feedback.

Questions to settle before you commit

• Can the package handle our process without modification?
• What does it cost to integrate with what we already run?
• Who owns the data, and can we export it in a usable format?
• Is there a warranty on defects, and for how long?
• Who patches it, and how often?
• Do we get a named contact, or a ticket queue?
• What happens to the code if we part ways?

The hybrid that usually wins

In practice most businesses land in the middle: run proven cloud systems for the standard functions, and build custom only around the part that differentiates you, connected by an API. You get speed where speed is free and control where control matters.
